The police clearance application is available online at PNP Clearance portal. All Filipino Nationals and expat workers plus students are eligible to apply for National Police Clearance Online and complete the entire process to obtain their clearance certificate.
If you make any mistake at the time of applying for police clearance your application can get rejected and the applicant has to find the reason for the rejection and correct it.
Possible Reasons for Police Clearance Rejection
The Philippine National Police may reject your police clearance application for certain reasons. These reasons are important to know for every applicant whose clearance application is rejected. Here I am sharing all possible reasons for which your police clearance application can be rejected.
Incorrect Personal Details
You must provide your correct name, date of birth, nationality and other personal details correctly when you apply for police clearance online in Philippines. You must double-check your details before you submit your clearance application.
In case your personal details are incorrect, the Philippine Police will reject your application. The police cross verify your personal details with your documents and they can reject your application if they find one or more errors.
Incomplete or Invalid Documents
You have to provide two valid IDs from the list of documents for police clearance given by Philippine Police. Make sure that both the IDs you want to use as documents for your police clearance application are valid and not expired.
You must check that your ID documents have your original name correctly written and/or spelled. Your ID documents must have your photo to prove that it is your Identity card.
In case your name or birth date or gender are incorrect in your ID document, your clearance application can get rejected for that reason. If your photo is blur i.e. not clear in your ID Card, the Philippine Police will reject your application.
Payment Failed [Fee Not Paid]
During police clearance online application, you have to pay the applicable fees immediately after you book your appointment for fingerprint & photo capture for police clearance.
The fee must be paid through one of the available payment options using Land Bank ePayment Portal. If your payment was failed, for whatever reasons, you must try again to pay the fee ASAP.
In case your payment status is under process, you need to wait for a few minutes to hours depending on the circumstances. Without paying the fees, your police clearance appointment will not be booked and your clearance application will be rejected.
Failed to Visit Police Station on Appointment Day
After booking your appointment and payment of fees, you are required to visit your selected police station for your fingerprint and photo capture plus original documents verification purposes.
In case you are unable to visit the police station, you can reschedule your appointment a day before the appointment date. If you did not cancel/reschedule it and also not visited the police station, the Philippine Police will reject your clearance application and will not refund the fees.
Serious Criminal Offenses
If you have any criminal record in the past, the Philippine Police will release your police clearance certificate with Hit. Your criminal record is clearly mentioned in your certificate but the crime was not too serious.
In case there are one or more serious criminal offenses on you and the police have found the same in their records, your clearance application will be rejected. Considering the severity of your criminal record(s), the Philippine National Police are unable to release the police clearance to you.
Technical Errors and Unknown Reasons
The National Police Clearance System works online and it is accurate most of the times. But it is possible that you may not submit your clearance application or the system is unable to process your application for technical errors and other unknown reasons.
What to Do If My Police Clearance Application is Rejected?
If your clearance application is rejected, you must find out the reason for rejection. When your application is rejected, the Philippine National Police sends you an email to your registered email address. You should check that email message thoroughly to know the reason for rejecting your application.
Important Note: You cannot edit your application after submission.
Kindly remember that you are NOT allowed to edit your clearance application after it is submitted. In case of rejection due to incorrect information, you must submit a new application.
#1. Update Your Personal Details:
If your clearance application is rejected for incorrect personal details, you must Edit Profile at PNP Clearance Portal to update your personal details.
Please note that you cannot edit your clearance application after submission, so you must update your personal details in your User Profile at PNP Clearance Portal.
#2. Change/Update Your Documents
If your clearance application is rejected for incomplete or invalid documents, you need to change or update your documents. For example: If your driving license was rejected as a valid document, you should not use it in clearance application. You can use your PhilHealth ID Card because it is a valid document for police clearance application in Philippines.
#3. Submit Fresh Application
The Philippine Police do not allow you to edit or update your submitted application. So, you must change or update your details and documents, thereafter you need to submit a fresh application for police clearance through PNP Clearance Portal.
#4. Pay the Fees
If your clearance application is rejected after fee payment, you will not get any refund. Moreover, you cannot submit a fresh application for police clearance without payment. So, you must pay the fees again every time you submit an online application for police clearance in Philippines.
In case your application was rejected due to fee payment failure then you must submit a fresh application, book your appointment and make fee payment online as per rules.
#5. Complete Remaining Process
After submitting online application, appointment booking and fee payment, you must visit your selected police station to complete the remaining process to get your police clearance certificate.
On your appointment day, you must carry the payment slip, application reference number and all required documents to the police station. On completion of fingerprint & photo capture and documents verification, the police will release your clearance certificate.
Deal with Serious Offenses (Criminal Records)
If there are one or multiple serious criminal offenses on you, the Philippine National Police can refuse to release a clearance certificate to you. In such circumstances, I suggest you not to apply for the police clearance as it will get rejected again.
You should consult a lawyer (legal advisor) who can help you deal with these offenses and guide you to get out of them in a legal way. Once your case is resolved, you can submit a fresh application for police clearance and follow the procedure to obtain your certificate.
